Simple Workflow Management
Once identified the system enters the item into a Workflow so that it can then be traced and is visible by all members of the department.
There is a simple summary page which allows users to quickly identify what stage in the workflow process a particular job is, and also which individual is currently responsible for it. As the task is passed between each individual, a notification is posted to their screen alerting them that they have a new job.
1. Technician - Carries out Vehicle Health Check
Firstly the Technician carry out the Vehicle Health Check process and once complete, the job is transferred to Parts.
2. Parts - Availability & Pricing
Having been identified the job is immediately passed on to Parts for pricing and to check availability. At the point of entry they can also enter the status of the parts required so that the Advisor is aware whether the work can take place immediately. See Image.
3. Workshop Controller - Labour Pricing
As soon as the parts have been priced for the job it then appears as a task for either the Workshop Controller or Advisor who then adds the labour costs to each item. There is also an easy to use calculator feature that can be used to assist with pricing the work.
4. Workshop Advisor - Customer Liaison
With the prices in place the customer can then be informed, and can make a decision on the jobs.
Task Status
The status of each task can then be changed as follows :
- Authorised - Job is then entered into system
- Scheduled - The deferred work optimiser is used to schedule the work for a future date and an alert is set up for either the Advisor or Central Marketing Department to contact the individual
- Declined - Declined work enters a diarised follow up process
